This slow economy has us looking for ways to cut costs and save money throughout the chain. The best way the maintenance department can do alleviate the cutbacks is to upgrade Datastream. This system costs us money in loss of labor hours, because of the difficulties using it. Many people have said that it is slow to respond to query’s. That it is hard to use and will not relay the information needed. These are the few top complaints from store managers and maintenance staff members. However, these problems will be corrected once the system is upgraded and a few other improvements. I will lay the groundwork below.
Background, problem, and purpose
The way we use Datastream currently does not effectively serve our purpose. We do not track parts to the specific equipment, nor do we track work performed on the equipment. Therefore, we do not know the true cost of an asset and cannot determine its worth to the company. In addition, we do not have Datastream connected to the technicians in the field. Since there is a mobile function to the system, we are missing a great opportunity. Our technicians waste a great deal of time, because they have to handwrite out everything they do in a store. Using the mobile functionality will reduce this time wasted. The system itself has become large and unwieldy if management needs any information. Information has become very difficult to locate because the system was not integrated correctly at the start. Because the data is hard to use and access it takes more time than it should causing costs to increase. The system has been in use since 2005 and has a great deal of information on it. This information is slowing the system down and even routine work slows down. This proposal will correct all of these major issues along with some other minor ones.
Proposal, plan, and schedule
The heart of the proposal will be the upgrade to Infor 10x, the latest software version of our current program. Infor 10x is cloud based and it is far different from what we are used to, and will represent a total overhaul of the system. In order to get the full use of the system and be efficient we will have to supply the technicians with handheld devices. It will be a 4 point plan and I will go into more detail below
1. Upgrade to latest version of program
a. Infor 10x is a cloud based version of our program Datastream. Because it is cloud based the strain will be lifted from our servers to the Infor servers. This will lead to an increase in speed and efficiency when the program is used.
b. The system is social in nature and will allow greater communication between the stores and technicians. This will increase work production, as the technicians will be better informed as to what is happening at the stores.
c. The new system will be more intuitive and allow greater access to information as it is needed.
